Anyone who treats autistic children knows that the work does not end when the session is over. Afterwards come the supervision notes, family updates, progress reports, and reports for health insurance. Added up over the month, this time is usually much greater than it seems.

AI can reduce a good portion of it. But only when the text comes out right the first time, or close to it. If every generated text needs three rounds of adjustments and a line-by-line check, the savings disappear along the way.

This article works through realistic scenarios. The figures are estimates, and the assumptions are spelled out so you can adapt them to your own setting.

Where the time goes

Three tasks concentrate the majority of the paperwork:

  • Notes for clinical supervision, school supervision, and family meetings.
  • Family updates regarding the plan, what was worked on, and what to practice at home.
  • Progress reports for the family, school, physician, or health insurance.

The assumptions

For each task, we compare three ways of doing it. The times are per document and include writing, reviewing, and saving in the correct location.

Task Manual Generic AI (open chat) Integrated AI, with review
Note for a 1-hour meeting 30 min 20 min 8 min
Family update 15 min 10 min 4 min
Progress report 120 min 90 min 20 min

Why these numbers:

  • Manual: drafting the note after the meeting, from notes and memory. The report includes assembling charts and tables by hand.
  • Generic AI: saves on drafting, but loses time copying the transcription, explaining the case, requesting adjustments, and checking every sentence against the source. Under our assumptions, one out of four texts needs to be practically redone.
  • Integrated AI: the note comes out in a clinical format, with absolute dates, only the decisions and actions per responsible party, and each suggestion shows the source excerpt. The time is for careful reading and small adjustments. In the report, the charts and PDFs are generated from the recorded data, and the period's notes and meetings are already organized in the child's profile. All that remains is to write the analysis and adjust the tone for the reader.

Scenario 1: independent practitioner with 8 children

Monthly assumptions: 8 notes (one meeting per child), 16 family updates (two per child), and 3 progress reports (each child receives one quarterly).

Manual Generic AI Integrated AI
Notes 4h 2h40 1h04
Family updates 4h 2h40 1h04
Reports 6h 4h30 1h
Total per month 14h 9h50 3h08

Almost 11 hours per month return to the practitioner, compared to manual work, and more than 6 and a half hours compared to generic AI. For someone practicing alone, this equals more than one working day per month.

Scenario 2: clinic with 40 children

Monthly assumptions: 100 notes (two clinical supervisions per child and some school supervisions), 80 family updates, and 15 reports (progress and health insurance).

Manual Generic AI Integrated AI
Notes 50h 33h20 13h20
Family updates 20h 13h20 5h20
Reports 30h 22h30 5h
Total per month 100h 69h10 23h40

That is more than 76 hours per month less than manual work, and more than 45 hours less than generic AI. Distributed among the team, these hours can return to supervision, training, and direct care.

What undermines these gains

  • Filler: long and generic text that someone needs to cut. Each cut is time.
  • Invented fact: one error found forces a re-read of the entire document because confidence in the rest also falls.
  • Lack of origin: without knowing where each sentence came from, the review becomes a line-by-line check.
  • Copying and pasting between systems: wasted time and risk of pasting in the wrong place or with wrong visibility.

These four points explain the distance between the generic AI column and the integrated AI column. Drafting is fast in both, and what changes is the revision time.

How to measure in your clinic

Before trusting any number, including those in this article, measure:

  1. For two weeks, note the time for each note, update, and report, from start to saving.
  2. Repeat for two weeks with the new tool.
  3. Also compare the quality: how many documents needed correction after being saved.

Time gain with quality loss is not a gain.

Where Proaba comes in

In Proaba, the voice note from the supervision or meeting becomes, after transcription, suggestions such as "Clinical Supervision Note" or "Plan Update for the Family," each with the excerpt that justifies it. The note comes out with absolute dates, clinical record, only the final decision and actions per responsible party, and knows the child, team, and family members. Reports utilize the assessment and plan charts and the plan, session, and assessment map PDFs, generated from what has already been recorded. In all cases, the practitioner reviews before saving.
